Consulting Project Coordinator (Remote)

The ideal candidate for the Consulting Project Coordinator position will provide support to our Consulting team leads throughout the lifecycle of our projects, by performing various project management, communication, coordination, and administrative tasks that help us deliver value for our clients throughout the US and Canada. The ideal candidate will grow and learn with QTS; potential career path opportunities from this position include developing into a Consultant role on the Consulting team or on our Customer Success and Training team.

Essential Duties and Responsibilities:

  • Workload and resource management:
    • Track timekeeping / billable hours and assist consulting team members with completing time entry into our project management software
    • Complete weekly consulting team hours tracking, labor projections
  • New business:
    • Establish new projects/clients in pipeline and billing spreadsheets
    • Gather and document invoicing process and instructions for new clients; set-up accounts as required with client online procurement and invoicing portals
    • Update and provide QTS clients with project documentation as a part of project set-up (e.g., obtaining and providing certificates of insurance and other associated project and procurement-related documentation)
  • Complete monthly billing analysis:
    • Run and analyze reports from our project management software
    • Complete internal tracking spreadsheets for invoicingand project and pipeline projections
    • Create itemized billing/invoicing and project tracking (e.g., budget, project updates, etc.) reports for clients
  • Project planning:
    • Create projects in project management software for newly won consulting projects
    • Update existing project plans with changes, new tasks as needed
  • Large project support:
    • Capture meeting minutes, action items from key client meetings on projects
    • Update project plans, project budgets, labor/resource capacity, project reporting documents
    • Monitor project plan / tracker and initiate following up/reminders to ensure actions are taken
    • Monitor project spend and report possible concerns to project lead (going over/under budget)
  • Other duties as assigned
  • Full time 40-hour work week with occasional after hours or weekend scheduled work. Work hours for this position are based on Central time zone regular business hours: 9am-5pm, Monday through Friday
  • Salary Range: $48K to $62K plus excellent health, dental, vision, life, short-term and long-term disability insurance; 401K benefits with employer match and unlimited PTO (Paid Time Off)

Minimum Qualifications (Knowledge, Skills, and Abilities):

  • Bachelors Degree or equivalent experience is required
  • Three or more years of experience in administration, office management, project management
  • Ability to work well in a team environment or individually on projects
  • Will use discretion and trust with confidential material
  • Effectively apply analytical and problem-solving skills
  • Work independently, self-directed with excellent time managing skills with the ability to multi- task, prioritize, and meet deadlines
  • High attention to detail and able to handle routine data entries accurately and efficiently
  • Proficient with all Microsoft Office applications
  • Experience with web-based procurement portals (e.g., Ariba) and project management tools (e.g., Forecast) a plus
  • Ability to work from a home office or other professional environment free from auditory or visual distractions
